Understanding Permission Sets (Legacy Permissions)

For organizations on Legacy Permissions, permission sets determine which Forms, Reports, Bulletins, Shared Files, and Referrals a user has access to within each Apricot program. This lets you dial in the permissions for each user group, ensuring they can only see and interact with the data and functionality they really need.

Permissions are managed by reviewing tabs for available features and checking individual boxes that grant different kinds of access for records within that feature (such as View, Create, Edit, and Archive for Forms). Administrators can add more than one permission set to a program to accommodate for different user groups. For example, case workers may require a more limited permission set to participant records than form builders or report writers.

To start managing permission sets, head to the Access Control area of the Apricot navigation bar and click on 'Sites & Programs'. Find the program you want to work with, then click the eye icon to see its details. Scroll down to the Permission Sets section, where you can create new permission sets or edit existing ones. Once you're in a permission set, you'll see tabs for several key Apricot features. Check the boxes to grant the appropriate level of access for the permission set you're working with, then save your record.

Once your permission sets are configured and assigned to users, different user groups should have varying access to features such as forms and reports to limit what they see and what actions they're able to take within Apricot, making their workflow more efficient and consistent across users.
