How do I edit filters after running a report? (Native Reporting)
Updated over 2 months ago

A report filter narrows down the amount of data pulled into a report from your database. Administrators may choose to lock a filter when building the report to prevent accidental changes to the report structure, or they may keep a filter unlocked to allow standard users who don't have access to the Report Builder to edit the filter after running the report. This setting is configured in the Filter Properties; to learn more, click here.

Note: Global Values can also be locked or unlocked when building a report.

To learn how to run a report, click here. Then, follow the steps listed below to learn how to edit unlocked filters and Global Values.

Step 1: Edit an existing filter

In the 'Run' version of a report, if the filter is in gray text with no pencil icon next to it, this means it is locked. Clicking on the filter will display a pop-up at the top of your page stating "This Filter has been Locked by Administrator."

However, if the filter is in green text and has a pencil icon, you can click the filter to edit it when running the report.

This will open the Filter Properties window, and almost all of the original settings when adding the filter are available to edit here. The only settings that cannot be edited here are the ability to lock the filter from editing, hide the filter from the 'Run' version of a report, or delete the existing filter altogether. These remain available only to administrators within the Report Builder.

Click Apply to save your changes to the filter.

Step 2: Add a new filter

Clicking the + icon next to the Filters section allows you to add a new filter after running a report.

However, filter logic will add the new filter with 'And' by default and cannot be modified in the 'Run' version of a report.

The new filter will also not be saved to the report or carried over to other users' instances of running the report; it can be deleted though.

Step 3: Edit Global Values

To edit an unlocked Global Value when you run a Report, click inside the box and enter new parameters. Once you have changed this Value, it will update any Global Filters that reference it, even if the filters are locked.

Users can also add a Global Value to an unlocked filter at run time by clicking on the filter, checking the Global option in its properties, and selecting which Global Value to reference in the dropdown field.

Be sure to click Apply to refresh the report data with the new Global Filter.
