How do I run a report? (Native Reporting)

Once a report has been saved and published, it can be run at any time to view the resulting data. Follow the steps listed below to learn how to run a report and what your options are when viewing the 'Run' version of a report.

Step 1: Navigate to the report

In the My Apricot view, expand the 'My Apricot Tools' category of the navigation bar and select My Reports.

This page will display every report category in your organization. Click the arrow next to a category name to view a list of every report in that category, or click 'Expand All' in the top-right corner to expand every category.

The Report List Filters section also allows you to limit your view to reports that were created, modified, or run within a certain time period.

Step 2: Run the report

Hover your mouse over the Actions arrow next to the report and select 'Run' to open it.

 

You'll find the following details after running a report:

  1. The report name

  2. The report section's name (one report may have several report sections identifying various data sets)

  3. The list of forms used to create the report

  4. Any filters narrowing down the report data pulled from your database

  5. Columns with data collected from the specified form fields

Step 3 (optional): Edit the 'Run' version

Depending on the report's settings, you may see the following message displayed within a report section after running a report: "Auto run has been disabled for this section. Click here to load your data."

This means the report has been configured to not automatically load the report data when running the report. Simply clicking on the green text of this message will load the data.

Users may also have the ability to edit the report's filters if they're not locked by the report builder. If applicable, you'll find a pencil icon next to the existing filter and a + icon to create an additional filter.

The Report Actions palette on the right-hand side of the report shows more actions you can take when viewing the 'Run' version of a report. If you have access to edit reports, you'll find the Edit button that will direct you to the Report Builder. You may also print or export the report from this menu.
