How do I export a report? (Native Reporting)

Native reports can be exported into a spreadsheet from both the My Reports page and the Run version of the report itself. You can even choose to export individual sections of a report.

Follow the steps listed below to learn how to access export options and how certain report features are displayed upon export.

Note: There is no hard limit for the number of rows that can be exported from a report, as there are many factors that contribute to the row total. For example, it's possible for a report containing only a few columns to be able to export 100,000 rows of data, while reports with more complex data structures may only be able to export 10,000 rows.

Step 1: Select a report

In the 'My Apricot' tab, expand 'My Apricot Tools' in the navigation bar and select 'My Reports'. Then, expand the report category by clicking the black arrow and hover your mouse over the Actions menu to select 'Export'.

Note: The report will export based on the default filter settings created in the Edit mode of the report. If you need to change the filters, choose to 'Run' the report from the Actions menu instead or edit it within the Report Builder to make your adjustments before selecting 'Export'.

Step 2 (optional): Run the report

Opening the report allows you to change its Global Values and filters before exporting.

Once the report shows the data you want, select Export from the Report Actions palette.

 

Step 3: Choose what to export

From the Export Configuration pop-up window, select whether you want to export all sections of the report or one specific section. If you choose All Sections, you can also choose to export every report section in its own file.

Notes:

  • In your exported spreadsheet, graph-only sections will not have a tab as there is no exportable data available. If Outcomes and Goals have been utilized in the report, there will be an additional tab in the spreadsheet reflecting that data.

  • Exported reports with sections that have Show Percentages enabled will ignore any grouped percentages and only show the smallest grouping's percent.

Selecting 'One Section' allows you to choose which section to export in the dropdown field. This will also make 'CSV file' an available file format option.

Note: If you have trouble exporting a large report, we recommend trying to export it one section at a time to improve your results.

Next, choose whether you want the Total Row Counts to display in your report sections. You can export based on each section's settings or choose to show all or none of the counts in the spreadsheet.

Step 4: Choose how to export

In the next setting of the Export Configuration window, select your file format:

  • XLS will export the report as a Microsoft Excel file compatible with versions before 2007.

  • XLSX will export the report as a Microsoft Excel file compatible with versions after 2007.

  • CSV is only available when exporting one report section at a time and will export it as a CSV file.

Then, choose whether to enable or disable Data Style Checking. Data Style Checking provides an extra method of processing your reported data to ensure that Excel correctly reads information, like processing Date columns as dates and not as general numbers. We recommend enabling this if you plan to further filter your report in Excel based on your date or number columns; otherwise you can disable this, especially for larger reports.

Once you've confirmed your selections, click Export. An Excel spreadsheet will be downloaded via your browser settings.
