Understanding Referrals

Referrals are a key feature in Apricot that allow your organization to seamlessly transfer participants between programs and services, both internally and externally. Whether you need to refer a participant to another program within your organization or to an outside provider, Referrals makes the process efficient and trackable.

To get started with Referrals, administrators first need to configure the programs that can send and receive referrals, as well as set the appropriate user permissions for data entry. This is done in the Administrator tab under the Access Control category on the Sites & Programs page and the Users page, respectively.

Once the referral settings are in place, users can create new referrals directly from a participant's Document Folder. When making a referral, you'll select the program the client is being referred to, choose which records to include, and add any necessary notes. The receiving program will then be notified of the pending referral.

From there, users with the proper permissions can accept, reject, or edit the referral. Accepted referrals will automatically transfer the client and associated records to the new program. Rejected referrals can include a reason, and edited referrals allow you to update details, such as the assigned owner or the records being transferred. Administrators also have the ability to view and report on all referral activity within Apricot. This data can be exported to further analyze referral trends and outcomes.
