Dear Valued Client,
We reached out in October regarding the Department of Housing and Urban Development’s (HUD) definition changes for Comparable Databases. Your Continuum of Care (CoC) should also have informed you of these updates. If you are receiving this email, it is because you are currently using the no-longer compliant Comparable Database solution and have not pursued our recommended updates.
To keep you compliant with HUD's latest changes and continue to provide high-quality services to your clients, we will be installing our up-to-date template on your Apricot site beginning in May. You will also receive another notification providing the exact date your new template will be available.
We understand that this can be a difficult and costly change, but please know that this came from HUD. We are only updating our solution to comply with their changes. We have invested our time and resources to assist you in lowering your costs by:
Developing a tool that allows us to install our compliant HMIS template on your current site
Reducing the cost of our product offering and allowing you to opt-out of the quality assurance package
Actively exploring development of a tool that will update your existing Apricot custom reports to use the new set of forms
Per HUD’s reporting specifications, you will also be required to migrate your existing HMIS data back from 10/1/2012. To help you with this, we have created a migration manual which you can use to self-migrate or contact your account manager to request a quote from our services team. Please note the minimum cost of the custom migration starts at $10,000.
It is important that you adopt the new template as soon as possible after it is installed to stay in compliance. However, if you wish to opt out of receiving the installation, please reach out to the Account Management team by visiting Support no later than 4/3/23.
