What text fields are available in a form?

Form fields govern how data is collected and reported on in Apricot. A diverse selection of fields is available in the Form Designer to tailor your forms to your organization's data entry needs.

In the Field Choices palette, fields are organized by category or in alphabetical order within the "All" section. Once you've found the field you want to add to your form, you can drag and drop the name of the field into the main body of the form section.

Text

Text can be used to enter any short text values. The character limit for this field (including letters, numbers, and punctuation) is 200 characters. The box displayed is large enough when printed to be used as a signature line as well.

Properties

Special properties include:

  • Field Width: Sets the field width in pixels for the Text field.

  • Default Value: Allows you to set a particular text value as the default if most of your data entry requires the same value in this field.

  • Character Limit: Sets a shorter character limit than the default 200 characters.

  • Hint: Allows you to display text within the field for users, but does not save any data in the record unless a value is entered.

Multi-Line

Multi-Line can be used to enter larger collections of text. The character limit for this field is over 5,000 characters. The box displayed is large enough when printed to be used as a signature line as well.

Properties

Special properties include:

  • Field Width: Sets the field width in pixels for the Multi-Line field.

  • Word Limit: Sets a smaller word limit than the default.

  • Character Limit: Sets a shorter character limit than the default 200 characters.

  • Hint: Allows you to display text within the field for users, but does not save any data in the record unless a value is entered.

Append Only

Append Only can be used to collect text values, but cannot be edited once the record is saved. The character limit for this field is over 5,000 characters. Data entered in this field cannot be reverted if the record is added via import, and restoring the record to an earlier version will not delete the text either. Information in this field will be blank if the record is copied.

The first section holds any old notes that have been previously entered. They cannot be edited. The date, time, and user who created each note were recorded when the record was saved.

The second section is where a user can add a new note. This can be edited until the record is saved, at which point anything entered in this box will no longer be available for editing.

  • Hint: Allows you to display text within the field for users, but does not save any data in the record unless a value is entered.
