Overview

A new Inventory universe is now available in Results Reporting! This release allows administrative users to extend the insights available from the Inventory Dashboard and build custom reports to better leverage their Inventory data, answering questions about the flow of inventory items over time and ensuring resources are available for program participants when they need them.

Note: Inventory Reporting in Results Reporting is available to Administrators in Apricot 360 organizations within the US only. To request more information about this feature, please contact the Account Management team here.

Feature Configuration

The Inventory universe is only available to customers who have begun using the Inventory Management feature. To enable the Inventory universe for your organization, please reach out to the Support team.

Creating a Report with Inventory Data

Administrative users in Apricot 360 can access the Inventory universe by following these steps:

  1. In Results Reporting, create a new web report.

  2. When selecting a universe, choose the "Inventory" universe for your organization.

  3. Use the inventory-related data fields and metrics to build your custom report.

Example Reports

There are three folders available within the Inventory universe: Inventory Items, Inventory Distributions, and Inventory Revisions.

Inventory Items

The Inventory Items folder includes information on the items in your inventory, including the names of items and categories they are in as well as the number of items and their available quantity. The example graph below looks at the total number of items available by category.

Inventory Distributions

The Inventory Distributions folder focuses on distributions and includes information on which items have been distributed, in what quantities, when distributions took place, and–if an item is returnable–if it has been returned or is overdue. The example graphs below display the percentages of items distributed and the distribution of these items over time.


Distributions data can also be used to look at the status of returnable items. The example table below shows returnable items and flags items that are overdue.

Inventory Revisions

The Inventory Revisions folder includes information that looks at changes to the total number of items that are part of the supply. The example table displays the date of a revision and the numbers of each item before and after the change.
