How do I undo bulk record assignments?

An Administrator or standard user with access to ‘Manage Bulk Assignments’ (check out Advanced Access for Role-Based Permissions or Administrative Access for Legacy Permissions) can assign or adjust program access to many existing records at once. If this change was made in error or needs to be reverted for other reasons, you can restore the records to their original program access before the bulk assignment.

Follow the steps listed below to learn how to use the Bulk Assignments tool to undo bulk program assignments.

Step 1: Navigate to Bulk Assignments

In the Administrator view, expand the Access Control category on the navigation bar and select Bulk Assignments.

Step 2: Restore an instance

Each line displayed on the Bulk Assignments page shows which user adjusted record access for an individual program at a particular date and time. If multiple programs were affected by one bulk assignment instance, they will appear as separate instances.

Note: A minimum of 6 records must have been adjusted in a bulk assignment instance for it to be displayed on this page.

Hover over the Actions menu next to the change you wish to undo, then click Restore.

Note: You will not receive a notification that access was restored. The exact instance will be removed from the Bulk Assignments page and replaced with whatever action was necessary to restore access. For example, if the initial bulk assignment removed records from a program, restoring the instance will add the records back to the program. You will then see the exact date and time you restored access to the program on the Bulk Assignments page.
